Reprographic Services

Researchers may request reproductions of materials in Rose Library collections for use in personal research. The Library will not copy materials if doing so would violate copyright law or donor restrictions, or if copying risks damaging the materials. The Rose Library also reserves the right to set limits on the amount of copying it will undertake. The Library charges fees for reproductions in order to offset the cost of producing the copies.

Notice Warning Concerning Copyright Restrictions

The copyright law of the United States (title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specific conditions is that the photocopy or reproduction is not to be used for any purpose other than private study, scholarship, or research. If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of fair use, that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order if, in its judgment, fulfillment of the order would involve violation of copyright law.

Personal Cameras

Researchers who visit the Rose Library may use personal cameras to photograph materials for personal use in research. In some cases, copyright law or other restrictions may prohibit the use of cameras. Researchers must turn off the camera’s flash and silence any camera sounds. Professional video equipment is not allowed in the reading room, and users wishing to conduct a video shoot should contact us or call 404.727.6887.

Requesting Reproductions

All other reproduction work will be done by Library staff. Requests may be denied if the item is too fragile or too large to be scanned with available equipment, or if the size of the request will place an unreasonable strain on available staff resources. Placing a Request

Requests for reproduction can be made using your account in Emory's Special Collections Request System. If you are not currently registered, you will be prompted to do so as you make your request. The same process is in place whether you are requesting photocopies (digital or paper) or high-resolution scans.

  • Books: If you are making a photoduplication request from a book, please follow the Instructions for Placing a Book Photoduplication Request. Anything that has a catalog number and can be found in Library Search is considered a book and can be requested using this method.
  • Manuscripts: If you are placing a photoduplication request from a manuscript collection (including born-digital materials) from within the finding aid, simply request the boxes in your account which include the materials you would like duplicated. Then contact us with your request, and we will process it in the system. In your request, please indicate whether you are interested in photocopies or high-resolution scans (see fee schedule below). If photocopies, indicate if you would prefer digital delivery or paper copies mailed to you. There is a minimum $5.00 shipping and handling charge for mailing paper copies.

We strongly advise making the requests through Library Search and the ArchivesSpace database to ensure accuracy of your order.

Reproduction orders are completed in the order in which they are received. There is a photocopy limit of 500 pages per year, per researcher; our year runs from September 1 - August 31.

  • For photocopies: We offer digital photocopy delivery as a PDF as well as the standard paper option. Orders are generally delivered within three weeks.
  • For digital scans: Files are generally emailed within fifteen business days.
  • For audiovisual orders: Delivery time depends upon medium and file size.

Fee Schedule

Emory students, faculty and staff are eligible for 5 free scans (TIFF) and 20 free copies (paper of PDF) per fiscal year.

Photocopies 

  • Requests for photocopies: $0.50 per page for manuscripts; $0.75 per page for books
  • Requests for copies of born-digital files: $0.50 per page
  • Additional charge per 100 pages: $5.00
  • Price per page increases to $.75/page when more than 200 pages are requested in a six month period.
  • Maximum number of copies per fiscal year: 500
  • The Rose Library will send photocopy requests digitally as PDFs through your Special Collections Request System account.
  • If you would prefer physical photocopies, shipping and handling charges will be assessed: $5.00 (minimum) or actual cost.

Digital Images and Audio/Visual Materials 

  • Per image fee for medium-resolution digital images (PowerPoint or web quality, 200 dpi): $5.00
  • Per image fee for high-resolution digital images (Publication quality, 400 dpi): $10.00
  • Per audio file: $20.00
  • Per video file: $25.00

Audio recordings will be digitized and saved as uncompressed 96 kHz/24-bit WAV files. Video recordings are saved as high quality 4:2:2 MOVs. Films are scanned at a higher resolution than video, 2K ProRes 4444 MOVs.
