Researchers may arrange to photograph, videotape or film certain special format materials if the materials cannot otherwise be satisfactorily reproduced. Special formats include framed daguerrotypes, framed paintings, and artifacts. A fee of $30 per hour will be charged for each videotaping/filming session, with a minimum charge of $30 for each session.

Researchers should be aware that arranging to videotape or film materials involves a two-step process:

1. Researchers are expected to visit MARBL to examine the available materials and to select materials for the videotaping/filming session. They are required to identify and list all materials to be videotaped/filmed and to complete all necessary paperwork.

In no case can our staff select materials for the researcher’s project; the researcher knows best what will suit his or her needs. Research services staff will, however, provide photocopies of a selection of materials for the researcher to choose from, IF staff time allows and if the researcher can be specific about the material he or she wishes to tape/film.

2. Researchers are required to make appointments for sessions to videotape/film archival materials. A 48-hour advance notice is required so that appropriate preparations can be made. The Harris Room, where lighting can be adjusted, is generally the venue for such shoots. A Research Services staff member will be present to insure that materials are handled appropriately.

During the video/filming session, precautions must be taken to prevent damage to collection materials should a lamp fall or explode. This can be done either by assigning a crew member to hold the lamp stand during filming or by placement of the lamps at a distance from collection materials greater than the height of the extended stand. In addition, all lamps must have wire screening shields not larger than 1/16 inch mesh.

Please note the restrictions on use and duplication outlined in the Reproduction Agreement on the reverse of the Request for Reproductions form (which is required for all videotaping and filming sessions.) The videotapes or films made during the session are for use only in research and private study by the researcher. Separate permission is required to publish, quote, broadcast, perform, or exhibit or otherwise provide access to the video or film (including access via the web.)
